2013 National Leadership Conference Registration Information
This page contains important information regarding TN HOSA registration for the 2013 HOSA National Leadership Conference. Additional conference related information (including itinerary, hotel reservation information, dress code, area attractions, etc.) is available in the National Leadership Conference Information Guide. Please review carefully the information provided in this email and in the guide prior to beginning the registration process.
Registration for the 2013 HOSA National Leadership Conference is now open. Detailed instructions for completing your registration can be found on page 26 of the National Leadership Conference Information Guide provided by National HOSA. Please note that several of these processes/deadlines may vary according to state.
Chapter advisors can register their schools by logging into the conference registration system with their charter number and password.
All conference attendees must be registered for the conference and must stay onsite in the official conference hotel. The registration fee for all attendees is $90.
Per National HOSA, any attendee who does not stay in the conference hotel will be disqualified from all activities and events.
Only the first, second, and third place finishers for each event will qualify to compete at the HOSA National Leadership Conference.
If a student or team is unable to attend the NLC, then the chapter advisor is asked to notify Amanda Hodges as soon as possible in order to allow an alternate student or team the opportunity to compete.
Fourth and fifth place finishers for each event will be notified by the TN HOSA State Advisor if there is a vacancy in a competition.
Optional leadership development workshop opportunities will be provided for members, local chapter officers, state officers, new advisors, and advanced chapter advisors. Additional fees apply. Additional continuing education opportunities for advisors are outlined on page 22 of the National Leadership Conference Information Guide.
The 2013-14 TN HOSA State Officers will need to be registered with their chapters, but their registration fee will be covered by TN HOSA. Additionally, all newly elected officers will need to register for the HOSA 301 Leadership University for state officers (scheduled for Tuesday, June 25). The cost for this session is $25 and will be covered by TN HOSA. You should subtract both of these fees from your school’s registration total prior to submitting payment. More information regarding state officer travel arrangements will be sent to the officers next week.
Registration fees must be received by TN HOSA on or before May 8, 2013. Payments should be mailed to:
Tennessee HOSA – Attn: Amanda Hodges 710 James Robertson Parkway 4th Floor Andrew Johnson Tower Nashville, TN 37243
Invoices will be available for you to print once you complete your online registration. In order for your payment to be processed by TN HOSA, you must include a copy of your registration invoice.
The official conference registration deadline set by National HOSA is May 15; however, TN HOSA has set a May 8 deadline in order to allow time for payments to be processed and changes/corrections to be made to registration.
All required forms (see below) must be submitted to TN HOSA with your chapter’s registration payment. The deadline for these forms to be received is May 8, 2013. Forms are available on pages 29-30 of the National Leadership Conference Information Guide. National HOSA requires that these forms be sent to the State Advisor. TN HOSA forms must be accounted for and copied by the TN HOSA State Advisor and submitted to National HOSA prior to conference.
National HOSA Medical Liability Release Form
Due to legal restrictions, National HOSA requires ALL students, advisors, parents, and guests who are registered for the conference to complete the National HOSA Medical Liability Release Form. Please note that this form is different from the form required for other TN HOSA events.
National HOSA Conduct Code
All students registered for the conference must submit a completed National HOSA Conduct Code form (signed by the student and a parent/guardian) in order to attend the conference.
Recognition Event Submission:
National HOSA has changed the 2013 NLC registration and submission process for five of the Recognition Events (see list below). These changes were made following the release of the original competitive event guidelines for 2012-13. Updated copies including the highlighted changes to the registration and submission processes for these events are attached.
Barbara James Service Award National Service Project HOSA Happenings National HOSA Week National Recognition Portfolio
Special Note: The registration and submission processes for Health Care Issues Exam and Outstanding HOSA Chapter have not changed. Please refer to your guidelines for specific details.
In summary, local chapter advisors are now responsible for registering their students for these five events at the 2013 HOSA NLC if the student is planning to attend the conference. The chapter advisor must do this as part of conference registration. The HOSA State Advisor will validate the submissions after conference registration closes. Only those students who submitted these event entries prior to the SLC will receive approval to compete at the NLC.
If your student was recognized at the SLC in one of these events but will not be attending the NLC, then you must notify Amanda Hodges (in writing) by the close of business on Friday, May 8, 2013. In order for these students to receive national recognition, you must send an email to Amanda.Hodges@tn.gov that includes the following information:
Subject line: NLC Recognition Event request Student(s) name School name Event name
The HOSA State Advisor is only responsible for submitting the names of those students who willnot be attending the conference at the written request of the chapter advisor.
Event documentation and/or entries should NOT be sent to National HOSA or TN HOSA.
Indication of the total number of hours for the Barbara James Service Award and fundraising totals for the National Service Project will be required as part of the online registration process to be completed by the chapter advisor.
HOSA Week and HOSA Happenings will bring their documentation to be shared at the NLC Showcase with them to the conference. Scrapbooks, newsletters, and other documents should not be submitted prior to the conference. The student should bring these items with them.
National HOSA will not collect or distribute any recognition event documentation for these five events (see list above).
TN HOSA is currently working to secure judges for the 2013 NLC. If you know of an individual, organization, or business that might be interested in judging at the conference, please send their name and email address to Amanda Hodges at Amanda.Hodges@tn.gov. Chaperones, parents, and other guests traveling with your school are also invited to serve as judges.
If there are any graduating seniors in your chapter who did not complete the alumni information sheet at the State Leadership Conference, please have them visit this TN HOSA Alumni registration page to fill out the short information form. It is quick and easy, and each submitted form will help the 2013-14 TN HOSA State Officers earn scholarships to attend the National HOSA Washington Leadership Academy in the fall.
Questions pertaining to event registration, fee payment, and required forms should be directed to Amanda Hodges at Amanda.Hodges@tn.gov. For technical support, please contact National HOSA at (800) 321-4672 or (972) 874-0062.
